01 · Responsibility
Who is responsible?
8 Seasons Lapland Oy is responsible for the personal information you submit through this website’s enquiry form and for the optional seasonal email updates described here. We also manage the website analytics setup. Use the contact details on this page to ask a question or exercise a privacy right.
02 · What you share
Information collected
When you send an enquiry, we collect the details you enter in the form:
- Your full name and email address.
- Your phone number and country code, if you choose to provide them.
- Your group size and the experiences and travel dates or season you are considering.
- Your accommodation preference and preferred trek style or level of challenge.
- The message you send and, if you choose, how you heard about 8 Seasons Lapland.
If you tick the optional seasonal-email box, we also record that choice, the wording shown beside it, when you submitted it, and that it came from the website enquiry form. Leaving the box unticked does not prevent an enquiry from being sent.
03 · Why we use it
How we use your information
We use your enquiry details to answer your questions, discuss the trip you asked about, and handle a possible booking request. Where you ask us to take steps before a possible booking, we process the relevant information for those steps, where applicable (GDPR Article 6(1)(b)).
Seasonal emails are a separate, optional purpose. We use your email address for wilderness stories, trek updates, and other seasonal news only if you actively opt in. The legal basis for those messages is your consent (GDPR Article 6(1)(a)).
04 · Website measurement
Website analytics
We use Plausible Analytics to understand how visitors use this website and to improve its pages and enquiry journey. On the primary production site, https://8seasonslapland.com, the Plausible script starts automatically. It does not load on preview, staging or other hosts. The bottom notice is informational, does not record a preference, and does not control the analytics script. Dismissing it does not stop analytics.
Plausible says its standard analytics script sets no analytics cookies and uses no persistent local storage. When the script runs, your browser sends analytics requests directly to Plausible, our third-party analytics provider, which processes the requests to provide statistics for this website.
Our manual setup sends page views for approved site routes, section-view categories, categorized clicks on experience, contact, email, phone and WhatsApp links, and enquiry-form views, starts, broad progress and validation milestones, and a submission milestone after the enquiry contact has been saved. Event properties may include broad experience and overnight/accommodation-style categories. We have disabled automatic form-submission, outbound-link and file-download tracking.
Page URLs include the page path and, when present, only these campaign fields: utm_source, utm_medium, utm_campaign, utm_content, and utm_term. Other query parameters are removed. Referrers are reduced to the referring website’s domain; full referrer paths and raw link destinations are not sent.
Analytics events do not include the contact details or free-text contents you submit in the enquiry form. We do not send names, email addresses, phone numbers, group size, specific travel dates, messages or other free-text contents, referral answers, seasonal-email consent, or keystrokes to Plausible. Only broad experience and overnight/accommodation-style categories may be sent as event properties. We do not use session replay.
According to Plausible’s current Data Policy, each analytics request includes your IP address and User-Agent, which Plausible uses to derive a rotating daily visitor identifier; Plausible says it does not store the raw IP address or User-Agent. Plausible also processes individual event and session records and derives approximate location and device, browser and operating-system details. Its dashboard presents aggregated statistics.
Plausible states that its analytics does not track visitors across websites for cross-site advertising. It also says analytics data is processed and stored in the EU. Plausible’s current Data Policy and Terms describe its retention and deletion practices; we do not set a separate fixed retention period for analytics records here. Separately, this website requests font files from Google Fonts. Your browser’s request can provide Google with technical information such as your IP address and browser details. This request is independent of Plausible Analytics. Read Google’s Privacy Policy.
05 · How information moves
Storage and security
Enquiry details are saved in Buildy Contacts. The website also sends an enquiry notification to Ville at Ville@8SeasonsLapland.com. If you opt in to seasonal emails, the consent record is saved with your contact information.
The form records your email preference; it does not itself send a marketing email or start an email sequence. We take appropriate steps to protect personal information against unauthorised access, loss, alteration, or disclosure. No online system can be guaranteed completely secure.
06 · How long we keep it
Retention
Enquiry records that do not result in a booking are kept for 18 months from your initial enquiry so we can consider offering a trip in a later season. At the end of that period, we delete the enquiry details. This retention does not subscribe you to seasonal marketing emails, which require a separate opt-in.
If you separately opt in to seasonal emails, we keep the email address and consent record needed to manage that subscription while it remains active. You can unsubscribe at any time.
If an enquiry leads to a booking, booking records are handled separately from unbooked enquiries. The 18-month period above does not set a retention period for confirmed booking or accounting records.
07 · Your choice
Optional seasonal emails
We send seasonal marketing emails only to people who have actively opted in. Your enquiry is still submitted if you leave the checkbox unticked, and we do not treat an enquiry on its own as permission to send marketing emails.
Every seasonal email will include a clear unsubscribe link. You can also withdraw your consent at any time by contacting us at Ville@8SeasonsLapland.com. We will stop sending seasonal emails after you unsubscribe or withdraw consent.
08 · Your choices and rights
Your privacy rights
Under the GDPR, you may ask us to:
- Ask for access to your personal information and request a correction if it is inaccurate.
- Ask for information to be erased or for its use to be restricted, where the law allows.
- Object to certain processing and request a copy of information you provided, where those rights apply.
- Withdraw consent to seasonal emails at any time. This does not affect processing carried out before withdrawal.
These rights depend on the circumstances and the conditions in data-protection law. To make a request, contact us using the details above. You may also lodge a complaint with the Finnish Office of the Data Protection Ombudsman.
